We are seeking a detail-oriented Assistant Project Manager to support our Project Managers (PMs) in overseeing projects from initiation to closeout. This role ensures projects stay on schedule, within budget, and meet contract requirements. The ideal candidate thrives in a fast-paced environment, has strong organizational skills, and can efficiently manage administrative tasks to keep projects running smoothly. responsibilities
Project Lifecycle Support
- Assist PMs in tracking projects from kickoff to closeout, ensuring milestones are met.
- Support scheduling, ensuring project timelines align with contract requirements.
- Facilitate client check-ins by preparing reports and updates for PM review.
- Assist in organizing and documenting post-mortem meetings to analyze project performance.
- Gather and compile closeout documentation to ensure all deliverables are accounted for.
Administrative & Project Tracking
- Maintain and update internal project tracking systems, including budgets, schedules, and milestones.
- Assist in managing Asana tasks, ensuring assignments are tracked and completed on time.
- Organize and maintain Google Drive with project documents for easy reference.
- Track and file key project paperwork, including steel certificates, engineering documents, and Certificates of Insurance (COIs).
- Ensure all administrative tasks related to project execution are completed accurately and efficiently.
Budget & Cost Tracking
- Assist in real-time cost tracking, flagging potential overruns for PM review.
- Support budget maintenance by updating expense reports and financial documentation.
- Coordinate with procurement and finance teams to ensure spending aligns with project budgets.

- Efficient Communicator - Able to communicate effectively with external and internal communications. Able to communicate client needs to the team and to communicate Downtown FabWorks needs to the client.
- Team leader - Proper estimation requires gathering information from peers and vendors. This person needs to be patient and communicative while understanding how to drive proposals forward with urgency when required.
- Problem Solving - This is a growing business and there are always unforeseen challenges. Being able to troubleshoot and communicate through a problem with peers is critical toward this role.
- Efficient Operator - Understands the value of everyone’s time. The person who fills this position needs to make sure that goals are achieved in a timely manner and manages their workflow accordingly.
- Organized and Able to Scale - Understands the importance of administrative organization, including file and document management, time management, and software to achieve administrative scale.

Compensation
$45,000-$55,000; Benefits as laid out in the company handbook; Accrued PTO (up to 20 days per year); Health Benefits; IRA Retirement plan with Wells Fargo
